The short version
Your project context stays project context.
We do not sell personal information or use project enquiries for behavioural advertising. Information is used to assess, respond to, and protect the enquiry process.
Scope and who we are.
This policy explains how Cloverpot Labs handles personal information through https://cloverpot.com, including the project questionnaire and related correspondence.
Cloverpot Labs is based in Kerala / India. For this website, Cloverpot Labs is responsible for deciding why and how submitted information is used.
Links to other websites, including LinkedIn, are governed by those websites’ own privacy practices.
Information we handle.
When you submit a project enquiry, we receive:
- Operational context, including the constraint, visible friction, affected teams, existing systems, project stage, timeline, and investment readiness.
- Your organisation or working name, work email, preferred follow-up method, and an optional public website or profile.
- The short description you provide about what success should change in the day-to-day.
- Your confirmation that we may use the answers to assess and respond to the enquiry.
We also process limited technical information needed for security and delivery. This may include IP address, browser and device signals, request origin, timestamps, form completion timing, and security-verification results.
Please do not submit passwords, payment data, government identifiers, medical records, or other sensitive personal information through the questionnaire.
How we use it.
We use the information to:
- Understand and assess the proposed work.
- Respond using your selected follow-up method.
- Prepare for discussions, proposals, or a potential working relationship you request.
- Protect the questionnaire and website from spam, abuse, and malicious activity.
- Maintain necessary business, security, and legal records.
Depending on where you are, this processing may rely on your consent, steps taken at your request before entering a contract, our legitimate interests in operating a secure business website, or a legal obligation.
Who we share it with.
We share information only where needed to operate the website, deliver the enquiry, protect the service, or meet legal obligations.
- Brevo
- Delivers the questionnaire as a transactional email and may retain delivery logs according to our account settings and its policies. Brevo privacy policy (opens in a new tab)
- Cloudflare Turnstile
- Processes security signals to distinguish legitimate visitors from automated abuse. Turnstile privacy addendum (opens in a new tab)
- Infrastructure providers
- Hosting, content-delivery, and security providers may process standard request and diagnostic data needed to serve and protect the website.
We may also disclose information to professional advisers, authorities, or another organisation where required by law, needed to protect legal rights, or connected with a genuine business reorganisation. We do not sell or rent personal information.
Cookies, analytics, and security.
We do not currently use advertising cookies or third-party analytics trackers on this website.
Cloudflare Turnstile may process browser and network signals and use strictly necessary cookies or local storage to verify that a submission is legitimate. These checks are used for security, not behavioural advertising.
If we later add optional analytics or marketing technologies, this policy and any required consent controls must be updated before they are enabled.
How long we keep it.
We keep project enquiries and related correspondence only for as long as reasonably needed to assess the opportunity, respond, maintain appropriate business records, resolve disputes, and meet legal obligations.
If a working relationship begins, relevant information may become part of the project or client record and be retained for the duration required for that relationship.
Service providers may retain technical and delivery records under their own policies and our account settings. You may request deletion as described below, subject to any information we are required to retain.
International transfers and security.
Our service providers may process information in countries other than your own. Where applicable, we rely on contractual, organisational, and technical safeguards for these transfers.
We use access controls, transport encryption, request validation, rate limiting, and bot protection intended to protect submitted information. No online system can be guaranteed completely secure.
Your choices and rights.
Depending on applicable law, you may ask to access, correct, complete, update, delete, restrict, object to, or receive a copy of personal information associated with your enquiry. You may also withdraw consent for future processing.
Send a request to hello@cloverpot.com. Include enough context for us to locate the enquiry. We may need to verify that the request relates to you before acting on it.
We will respond in line with applicable law. Some information may be retained where required for legal, security, or record-keeping reasons.
Children.
The website and project questionnaire are intended for people acting in a professional or business capacity. They are not directed to children, and we do not knowingly collect personal information from children through this website.
If you believe a child has submitted personal information, contact us so we can review and remove it where appropriate.
Changes and contact.
We may revise this policy when the website, our service providers, or legal requirements change. The effective date at the top of this page will be updated when we do.
Questions, requests, or concerns about this policy can be sent to hello@cloverpot.com.
